This Privacy Policy explains how we collect, use, disclose, and safeguard information when you visit our website theschoolerp.cloud or use our mobile application and SaaS platform.

2. Role of TheSchoolERP

  • Data Processor: We act as a Data Processor. We process student and staff data strictly on behalf of the School (the Subscriber).

  • Data Fiduciary (Controller): The School is the Data Fiduciary. They own the data and control what information is collected and how it is used.

3. Information We Collect

A. Information provided by the School (Subscriber) To provide our services, the School may upload the following data to our servers:

  • Student Data: Name, Roll Number, Date of Birth, Gender, Blood Group, Address, Photos.

  • Parent/Guardian Data: Name, Phone Number, Email Address, Occupation.

  • Staff Data: Name, Qualification, Banking Details (for payroll), Attendance records.

  • Academic Data: Marks, Grades, Timetables, Homework, Attendance history.

  • Financial Data: Fee payment records, invoices, and receipts.

B. Information Collected Automatically When you access our SaaS platform or App:

  • Device Information: IP address, browser type, operating system, and device IDs.

  • Usage Data: Login times, pages viewed, and features used within the ERP.

4. How We Use Your Information We use the collected data strictly for the following purposes:

  • Service Delivery: To manage school operations (admissions, fees, exams, attendance, payroll).

  • Communication: To send automated SMS/Email alerts regarding fees, attendance, or homework (as triggered by the School).

  • Support: To resolve technical issues or bugs reported by the School.

  • Improvement: To analyze usage trends and improve the performance of our SaaS platform.

We do NOT sell, rent, or trade student or parent data to third-party advertisers.

5. Data Sharing and Disclosure We share data only with third parties essential to the functioning of the App:

  • Cloud Infrastructure: We host our data on secure servers (e.g., AWS/Google Cloud/DigitalOcean).

  • Payment Gateways: If the school collects fees online, payment data is processed by secure providers (e.g., Razorpay, PhonePe). We do not store credit card/banking passwords.

  • SMS/Email Providers: To deliver notifications (OTP, alerts).

  • Legal Requirements: If required by Indian law or a court order.

6. Data Security We implement industry-standard security measures to protect your data, including:

  • Encryption: Data is encrypted during transmission (HTTPS/SSL).

  • Access Control: Only authorized personnel (School Admin and our technical support team) have access to sensitive data.

  • Regular Backups: To prevent data loss.

However, no method of transmission over the Internet is 100% secure. While we strive to protect your data, we cannot guarantee absolute security.

7. Data Retention We retain data only as long as the School holds an active subscription with us. Upon termination of the contract, we will provide the School with an option to export their data, after which it will be permanently deleted from our servers within [e.g., 60 days].

8. Your Rights (For Parents & Students) Since the School is the owner of the data:

  • Access & Correction: If you need to view or correct a student's data, please contact the School Administration directly.

  • Deletion: Requests to delete student data must be directed to the School. We will process such requests only upon instruction from the School.

9. Cookies We use session cookies to keep you logged in and ensure the smooth functioning of the dashboard. We do not use cookies for tracking you across other websites.

10. Third-Party Links Our application may contain links to third-party websites (e.g., CBSE/State Board portals). We are not responsible for the privacy practices of those external sites.

11. Updates to This Policy We may update this Privacy Policy from time to time. We will notify Subscribers of any significant changes via email or an in-app notification.
